Every module, explained

All forty-six modules a GemPro account can carry: what each one does, the features that matter, how you actually use it, and a picture of the screen it opens — plus the Telegram bot, which works alongside them rather than inside the sidebar. Nine are marked with the plans that include them — everything unmarked is in every plan, the 60-day trial included.

The Business Dashboard — the first screen of every day: stock, the month’s sales, memo due back and the gold spot, fed live by the modules below.

Inventory & lab

11 modules

The stone book and everything that touches it: where each stone is, what it cost, what the lab said, and who else holds a share of it.

Stone Inventory

The master book of loose coloured stones — every stone's identity, cost, asking price, status, media and provenance in one record.

Stone Inventory, filtered to sapphires in stock — every row opens the full record: cost, media, provenance, lab papers.

Features

  • Import from spreadsheets with per-column mapping and a currency for each money field
  • AI lab-report scanner that creates a stone straight from a certificate photo or PDF
  • Duplicate scanner, bulk add, QR label printing, and a per-stone ledger of showings, offers and holds
  • Send a stone to a client portal, or publish it to your own website, from the row

How to use it

  1. Add stones one at a time, in bulk, or with the spreadsheet importer — map your columns once and set the currency per money column.
  2. Photograph or upload a lab report to create the record automatically; link the certificate to the stone.
  3. Work the book day to day: filter and sort, print labels, record showings and holds, send to a portal when a client should see it.

Diamond Inventory

The same book for loose diamonds, keyed on the 4Cs, certificate number and growth type — natural or lab-grown.

The diamond book — shape and the 4Cs on every row, the certificate number beside them, and per-carat maths in your base currency.

Features

  • CSV importer, duplicate scanner and bulk add, tuned to diamond fields
  • 360° viewer support for stones with an interactive view
  • Label printing, send-to-portal, and publish-to-website from the row
  • Cost, asking and per-carat maths in your base currency

How to use it

  1. Import your diamond list or add stones by hand with the 4Cs, certificate number and growth type.
  2. Attach media — stills or a 360° link — and the certificate.
  3. Filter by shape, size, colour, clarity or status; open any row to edit, memo, or invoice it.

Parcels & Lots

Records what a parcel cost and breaks it into individual stones, so every stone carries a defensible share of the parcel price.

A parcel split four ways on asking price — largest-remainder rounding hands the odd cent to one stone, so the shares total the $9,600 paid exactly.

Features

  • Four allocation bases: by carat weight, by asking price, split equally, or manual amounts
  • Largest-remainder rounding so allocated cents always sum to the parcel exactly
  • Each allocated stone lands in Stone Inventory with its share as cost

How to use it

  1. Create the lot with what you paid for the parcel.
  2. List the stones that came out of it, then pick an allocation basis.
  3. Confirm — the stones are created in inventory, each with its share of the parcel cost.

Lab Reports

The certificate archive: every GIA, GRS, Gübelin, AGL or SSEF-type report, its PDF or image, and what it concluded on origin and treatment.

The certificate archive — extraction reads species, origin and treatment off the scan, and every row deep-links to the lab’s own report check.

Features

  • Upload the report file and link it to a stone in one step
  • Columns for lab, report type, origin, treatment and issue date
  • AI extraction reads the certificate for you
  • Verification deep-links out to ten labs' report-check pages

How to use it

  1. Upload the report PDF or photograph and link it to the stone it belongs to.
  2. Let the AI extraction fill species, weight, origin, treatment and report number; correct anything it misread.
  3. Use the lab's verification link whenever a client wants the report checked at source.

Memo

Stones and diamonds out on approval, in both directions — including memos sent to another GemPro business.

A memo sent to another GemPro user — it lands in their memo inbox as Pending Authorisation; nothing binds until they authorise, and when they do, both sides’ books update from that one act.

Features

  • Outgoing memos with items, values and due-back dates
  • An incoming-authorisations inbox for goods memoed to you
  • Platform transfer: send a memo to another GemPro user by email and it lands in their memo inbox
  • Acceptance flow: nothing binds until the recipient authorises — they can also reject, return or sell
  • Set a maximum discount; the recipient sees the minimum sale price, never your cost
  • Mixed-currency item lines normalised for totals

How to use it

  1. Create a memo, add the stones or diamonds, and record who holds them and until when.
  2. If your counterparty uses GemPro, send it as a platform transfer: it arrives as Pending Authorisation, and the moment they authorise, both sides’ books update.
  3. When goods come back, book them in from the memo; when they sell, convert to an invoice.

Consigned In

Goods you hold from a supplier, tracked as an obligation: receive each item, sell or return it, settle the balance.

Goods held from Colombo Gem Co. as an obligation — sell or return each item, and the balance owing moves only when a settlement is recorded.

Features

  • Receive consigned items with the supplier's expected price
  • Per-item sell / return actions keep the obligation honest
  • Record settlements against the supplier as you pay

How to use it

  1. Receive the consignment and list each item with its agreed value.
  2. Mark items sold or returned as they move.
  3. Record settlements until the balance with the supplier is cleared.

Cutter & Lab

Stock that has left the building for recutting or grading — so it stops reading as available, and the work reaches the stone's cost basis.

Stock that has left the building reads as out, not available — and the cutter’s fee lands on the stone’s cost basis when it is booked back in.

Features

  • Send a stone to the cutter, or open a lab submission
  • Separate before / after photo and video galleries
  • Book the stone back in with the work's cost added to its basis

How to use it

  1. Send the stone out — to a cutter or to a lab — with photos of how it left.
  2. While it's away, the stone shows as out, not available.
  3. Book it back in with the after photos and the cost of the work; the stone's cost basis updates.

Stocktake

Counts the shelf against the book, hands-free: the scan field keeps focus so a hardware barcode scanner works without clicking.

A live count against the book — the scan field keeps focus so a wedge scanner works untouched, and the found-or-missing verdict updates as you go.

Features

  • Stocktake sessions with a live found / missing verdict
  • Works with a USB or Bluetooth wedge scanner out of the box
  • One tap moves a misplaced stone's record to where it actually is

How to use it

  1. Start a stocktake session.
  2. Scan each label — the verdict updates as you go, no clicking between scans.
  3. Resolve the differences: update locations, or chase what's genuinely missing.

Gem Labels

Tray labels rendered to print, with a scannable QR that resolves straight back to the stock record.

Tray labels rendered to size and queued as a batch — the code on each one opens the stock record, from the in-app scanner or a phone camera.

Features

  • Batch queue — add stones, print the run in one go
  • Print-size and export-size renders, laid out in millimetres
  • The in-app camera scanner opens whatever label you point it at

How to use it

  1. Queue the stones that need labels.
  2. Print the batch, or export PNGs if a label service prints for you.
  3. From then on, scanning a label — with the header scanner or a phone camera — opens the record.

Appraisals & Passports

Issues insurance-grade appraisals, and gives each stone a public gem passport reachable from its label's QR.

An issued appraisal is frozen; a change becomes a superseding document. The public passport shows only the panels you opted in, and nothing else.

Features

  • Appraisals freeze once issued — amendments supersede, never overwrite
  • The passport is opt-in panel by panel, so publishing a stone never silently publishes its valuation
  • Passport QR generated for printing

How to use it

  1. Create the appraisal from the stone's record and issue it; a later change means a superseding appraisal, keeping the paper trail honest.
  2. Choose which panels the public passport shows — identity only, or provenance and certification too.
  3. Print the passport QR; anyone who scans it sees exactly what you opted into, nothing more.

Risk & Ownership

Three records most systems keep nowhere: what is insured, where a stone came from, and who else owns a share of it.

Who actually owns the stone — three partners on recorded shares of cost and proceeds, beside its cover and the provenance chain behind it.

Features

  • Insurance entries per stone with cover and insurer
  • Provenance events building a documented chain
  • Fractional ownership with partners and percentages

How to use it

  1. Record insurance as you take cover out, against the specific stones.
  2. Add provenance events when a stone changes hands or a document surfaces.
  3. Register partners on shared goods so ownership is never a matter of memory.

Sales & clients

11 modules

The client file, the documents you send, and the money coming back — in any of eleven currencies, with a base-currency snapshot on every row.

Client CRM

The client file: pipeline stage, acquisition channel, preferred contact, spend history, important dates and sizing.

The client file for R. Blackwood — spend history, the sizes and dates every other module reuses, and the follow-up the app is already chasing.

Features

  • Saved views: follow-up due, open demand, high value, dormant
  • Ring sizes for both hands plus body measurements, locked to consistent units
  • Duplicate detection with assisted merge that never merges on its own
  • Birthdays and anniversaries feed the clienteling and birthstone modules

How to use it

  1. Create the client with as much or as little as you know — the file grows as you trade.
  2. Record sizes and dates once; quotes, portals and reminders reuse them.
  3. Work the saved views weekly: who's due a follow-up, who's gone quiet, who's worth a call.

Today & Reviews

A morning feed of who to contact — derived entirely from data already in the app — plus post-sale review requests.

The morning list, assembled from data already in the app — birthdays, promised follow-ups, clients gone quiet — beside the review requests to send after a sale.

Features

  • Prioritised daily list: birthdays, anniversaries, dormant high-value clients, promised follow-ups
  • Actioning an item stamps last-contacted on the client
  • Review requests generate a public link you can send anywhere

How to use it

  1. Open it with your coffee; the list is already built.
  2. Contact who matters today and tick them off — the CRM updates itself.
  3. After a sale lands, send the review request from the same screen.

Quote Generator

Line-item quotations with validity windows and your default markup, ending in a yes you can prove.

A quote with its lines and its validity window, sent as a link that records the yes — accepted at 4:07 pm, then converted to an invoice with nothing retyped.

Features

  • PDF export in the same stationery as your invoices
  • A public share link that records acceptance
  • Accepted quotes convert onward — to an invoice or a production job
  • Statuses for accepted, declined and expired

How to use it

  1. Build the quote from inventory lines or free lines; your prefix, validity and markup defaults apply.
  2. Send the PDF, or the share link if you want acceptance recorded.
  3. On a yes, convert — the quote becomes the invoice or the job, no retyping.

Invoices

Issues, tracks and collects invoices in any of eleven currencies, linked to stock so a sale draws down inventory.

Invoices — raised from a stone, a piece or a quote in one click; marking one paid updates stock, the client’s history and the P&L.

Features

  • Real PDF invoices, plus an aging report beside the list
  • Payment plans where instalment status comes from money received — never from promises
  • An opt-in overdue reminder ladder at 1/7/14/30/60 days
  • Xero push: drafts created there, closed here when your accountant records payment

How to use it

  1. Raise the invoice from a piece, a stone or a quote; lines link to stock so selling updates the books.
  2. Send the PDF; record payments as they arrive — part-payments and plans included.
  3. Watch the aging report, and let the reminder ladder do the chasing if you've enabled it.

Client Portal

Premium & Enterprise

A private, curated web page of selected stones, diamonds and pieces for one client — public link or password-protected.

What the client actually sees: a private page of the goods you chose for them, priced in their own currency, with supplier cost that can never reach it.

Features

  • Per-portal prices and display-field overrides; supplier cost can never reach a portal
  • Portal currency conversion for the client's convenience
  • Duplicate, preview, publish live, and a needs-refresh flag when stock changed
  • Enquiries land back in GemPro

How to use it

  1. Pick the goods from inventory and send them to a new portal.
  2. Set the client-facing prices — or price-on-application — and choose public or password access.
  3. Send the link. Update the portal any time; the client always sees the current version.

Style Boards

Trial, Premium & Enterprise

A grid of ring styles assembled for one client and shared as a live board the client can answer with their own inspiration photos.

Ring styles assembled for one client and shared as a live board — she answers on the board itself, and her own inspiration photo arrives attached to it.

Features

  • Up to twelve images per style, drag-to-reorder, and a reusable style library
  • The client replies on the board itself — their photos arrive attached to it
  • One click turns a board into a quote, a portal, or a bespoke order

How to use it

  1. Assemble the board from your style library or fresh uploads.
  2. Share the link; the client browses and replies with what they love.
  3. When direction is agreed, convert the board into the next step — quote, portal, or bespoke brief.

Sourcing Wishlist

Open client requests — type, shape, carat range, clarity, priority — matched against your stock automatically.

Open client wants checked against your own book every time stock moves — two stones already in the safe answer what T. Nguyen asked for in June.

Features

  • Statuses from sourcing through matched to fulfilled
  • Stones in stock that fit each request shown inline
  • Shares its matching engine with the marketplace

How to use it

  1. Log the want the moment a client asks for something you don't have.
  2. Check the inline matches as stock changes — a new parcel may already contain the answer.
  3. Mark it fulfilled when the stone is delivered, and the request becomes history you can search.

Marketplace

A cross-team demand board: post a wanted that every GemPro business sees, and the platform privately tells teams holding matching stock.

A wanted posted to every GemPro business — teams holding a match are told privately, and the replies carry no cost, no media and no name until someone chooses to deal.

Features

  • Demands scroll across every team's screen as a ticker
  • Matches are computed server-side; nobody browses your inventory
  • Responses share a strict whitelist — never cost, never media
  • Anonymous until you choose to deal

How to use it

  1. Post the demand: type, size, quality, and what matters about it.
  2. Teams holding candidates get a private notification; interested ones respond.
  3. Compare responses and take the conversation wherever you close business.

Trade Show Mode

Premium & Enterprise

A session-scoped fast-capture screen for a buying trip: log purchases and expenses in seconds, push them into inventory when you're back.

The booth screen: a buy or an expense captured in seconds between handshakes, stamped into one session you push into inventory back at your desk.

Features

  • Quick Buy, Expenses, Show Inventory, Session Feed and Want List tabs
  • Everything stamps into the session, so the trip stays one story
  • One tap adds a purchase to the real inventory afterwards

How to use it

  1. Start a session when you land at the show.
  2. Capture buys and costs as they happen — seconds each, between handshakes.
  3. End the session home at your desk and push the buys into inventory properly.

Agents & Commission

Trial, Premium & Enterprise

The referral side of the trade: agent records, commission accrual, and signed broker agreements.

What each agent introduced in August and what they are owed — accrued from the invoices themselves, so settling is a statement rather than an argument.

Features

  • Commission bases: percentage, flat fee, per carat, or manual
  • Broker agreements with parties, exclusivity, when-earned and when-payable terms
  • Commissions accrue automatically from invoices carrying an agent
  • Batch settlement and commission statements

How to use it

  1. Create the agent and their terms once.
  2. Put the agent on the invoices they earned — accrual is automatic.
  3. Settle in batches and hand over a statement instead of an argument.

Returns & Service

The repair, resize and rhodium bench: jobs move from received to collected with the evidence attached.

A resize and rhodium job moving through the bench stages, with the intake photographs that settle any later question about how the ring arrived.

Features

  • Condition photos and video recorded at intake
  • Stages: received, in progress, awaiting parts, ready, collected or shipped
  • Warranty-expiry watchdog warns 30 days ahead

How to use it

  1. Book the piece in with photos of its condition — the argument you'll never have to have.
  2. Move the job through its stages as the bench works.
  3. Mark it collected; the history stays on the client and the piece.

Production & bespoke

9 modules

Commissioned pieces from brief to delivery, repeatable designs costed from live metal, and finished jewellery as stock.

Bespoke Orders

Runs a commissioned piece through a nine-stage pipeline from brief to delivered — with the client watching a live tracking page.

Bespoke Orders — the nine-stage tracker your client can watch from their portal, beside the workroom’s live pipeline.

Features

  • Public tracking link showing stage progress and target delivery
  • CAD and 3D uploads: STL, 3DM, STEP, OBJ and more
  • A printable workshop job pack, and a client-facing quotation PDF with no internal costs
  • Advancing a stage emails the client — the confirm dialog names them first

How to use it

  1. Open the order with the brief, budget and target date; send the client their tracking link.
  2. Attach CAD as design progresses; print the job pack for the bench.
  3. Advance stages as work completes — the client is kept informed without you writing a single update.

Jewelry Production

The workshop job record for a piece being made: brief, costs, assets and vendor traffic in one place.

The workshop record for one job — stones, casting, bench hours and vendor traffic in a single place, with the cost tab role-gated so the bench sees the work and not the margin.

Features

  • Overview, costs, assets, communications and timeline tabs
  • Cost access is role-gated — the bench sees the job, not the margins
  • Create purchase orders from the job; convert the finished piece to inventory

How to use it

  1. Open a job for the piece and load the brief and assets.
  2. Record costs and vendor communications against the job as they happen.
  3. When it's done, convert to Finished Jewelry — costs travel with it.

Finished Jewelry

Completed pieces as sellable stock, with category, QC state and a photo gallery.

Completed pieces held as sellable stock — status, QC state and price on one line, and the invoice button moves stock, client history and the P&L in a single act.

Features

  • Statuses from in stock through memo, review, sold and returned
  • QC states: pending, passed, needs rework, client approved
  • One-click invoice and portal from a piece
  • Cost rollup from the linked stones and diamonds

How to use it

  1. Create the piece — or convert it in from a production job — and link its stones.
  2. Photograph it properly; the gallery is your sales tool.
  3. Sell it with the invoice button; stock, client history and the P&L all update from that one act.

Product Catalog

Repeatable designs (a model) and their sellable per-metal variants, with costing done from metal codes and live spot.

A design costed once and quoted forever — each metal variant carries its own derived weight and takes its metal value straight from this morning’s spot.

Features

  • Centre stone, accent stones, casting, metal and sizing sections
  • Density-derived weights and live spot pricing per variant
  • Typed media: renders, spec shots and CAD source kept distinguishable

How to use it

  1. Create the model once with its stone plan and metal options.
  2. Let the costing derive weight and metal value per variant from live spot.
  3. Quote or produce from the variant — the maths is already done.

Builder & Credit

A ring-builder scratchpad for pricing a mount-plus-stone combination, alongside an immutable store-credit ledger.

Price a mount-and-stone combination while the client sits across from you — the builder saves nothing, and the credit ledger beside it can only be added to.

Features

  • Pricing writes nothing — an abandoned idea leaves no trace
  • Trade-ins recorded with the goods and value taken
  • Store credit as an append-only ledger, because that's money you owe

How to use it

  1. Play with combinations in the builder while the client sits across from you.
  2. Record a trade-in when goods come across the counter.
  3. Issue and redeem store credit knowing the ledger can't be quietly edited.

Ring Sizes

A cross-system ring size chart with a finder that highlights the matching row across every standard.

Measure however you like, then read the equivalents straight across US, UK/AU, JIS and ISO — and record the size on the client so nobody measures twice.

Features

  • ISO, JIS, UK/AU, US, HK and India systems side by side
  • Diameter is canonical; circumference computed
  • Twenty rows, so half sizes don't fall between the cracks

How to use it

  1. Measure whichever way you like — diameter, circumference, or a known size in any system.
  2. Find the row; read the equivalents straight across.
  3. Record the size on the client so nobody measures twice.

Brands

A shared workroom for a label two businesses run together — visibility comes from brand membership, not from the team.

One label run by two businesses — both partners work the same pieces from their own accounts, and marking HOM-03 sold takes it off the brand’s public shop in the same second.

Features

  • Both partners see and work the same collection from their own accounts
  • Piece drawer with gallery, prices, QC and notes; list and by-status board
  • A website row showing what the brand's public site is currently being told
  • Status changes publish to the brand's site within the second

How to use it

  1. Each partner signs into their own GemPro and opens Brands — same pieces, same truth.
  2. Work the collection: statuses, prices, notes, photos.
  3. Sell a piece and the brand's public website stops offering it — automatically.

Birthstones

Joins the birthstone calendar to client birthdays and to stock on hand: whose occasion is coming, and are you holding the stone for it.

The birthstone calendar joined to your client birthdays and to what is actually in the tray — T. Nguyen’s September lands on sapphire, and you are holding three.

Features

  • Switchable birthstone traditions
  • Upcoming client dates with the implied stone
  • Matching stock shown against each occasion

How to use it

  1. Open it near month-end to see the coming month's occasions.
  2. Check the matches — the sale is often already sitting in the tray.
  3. Reach out through the CRM with something better than a generic greeting.

Astrology

Computes a client's birth chart in three traditions and turns it into a gemstone recommendation matched against your actual stock.

A birth chart computed in three traditions and carried through to the part that sells — a stone recommendation cross-matched against the stones you are holding.

Features

  • Vedic/Jyotish with Navaratna output, BaZi Four Pillars, and Burmese Mahabote
  • True-UTC birth time from an offline timezone lookup by birthplace
  • Printable client-deliverable chart PDFs

How to use it

  1. Enter the client's birth details — date, time, place.
  2. Read the chart and the stone recommendation, cross-matched to your inventory.
  3. Print the deliverable for clients who buy by tradition — it's a beautiful close.

Finance & operations

10 modules

Costs, suppliers, parcels in transit and the day's tasks, with a P&L in your base currency and an owner-only record of who did what.

Expenses & P&L

Captures every cost against a category and produces a period P&L in the team's base currency.

Expenses & P&L — the month assembled from invoices, expenses and jobs as they happen; nothing retyped at month-end.

Features

  • AI receipt scanning — photo or PDF — and free-text expense entry
  • Recurring schedules posted automatically, idempotently
  • Expenses, P&L statement and recurring tabs
  • Multi-currency capture with base-currency snapshots

How to use it

  1. Photograph receipts as you get them; the AI files them as categorised expenses.
  2. Set recurring costs — rent, subscriptions, insurance — once.
  3. Read the P&L by period and know where the month actually went.

Purchase Orders

Formal orders to suppliers with line items, incoterms and payment status.

A formal order to the supplier — three lines, an incoterm and terms — waiting on the parcel; receiving against it puts the stones in stock and moves the payment.

Features

  • Statuses from draft through in-transit to received
  • Seven incoterms; lines typed against stone or diamond inventory
  • PO PDF emailed to the supplier from the app
  • Open Shipping links a PO to its parcel

How to use it

  1. Raise the PO with lines and terms.
  2. Send the PDF to the supplier and track confirmation.
  3. Receive against it when the parcel lands — stock and payment status follow.

Vendors

The supplier and service-provider book across fourteen vendor types, from rough supplier to rhodium plater.

The supplier record as a scorecard — what you ordered against what actually arrived, how long it took, and what is still owed before the next negotiation.

Features

  • A performance scorecard from what was ordered, expected and received
  • Lead times, PO spend and linked expenses per vendor
  • Detects when a vendor is also on GemPro and offers a platform memo

How to use it

  1. Create the vendor with its type and terms.
  2. Trade normally — POs, expenses and shipments accumulate against them.
  3. Read the scorecard before the next negotiation.

Shipping & Logistics

Trial, Premium & Enterprise

Every parcel in or out: supplier inbound, lab submissions, memo movements, client deliveries, internal transfers.

One parcel followed end to end without opening a courier site — the tracking refreshes itself, the declared value rides along, and the PO is waiting to be received.

Features

  • 17TRACK carrier tracking, refreshed automatically
  • An address book so nothing is retyped
  • Insured-value totals and an overdue tab
  • AI reads tracking numbers and addresses off a label photo

How to use it

  1. Create the shipment — or photograph the label and let the AI fill it in.
  2. Track it automatically; watch the overdue tab, not the courier sites.
  3. Opt in to client notifications and the recipient hears when it's delivered.

Tasks & Calendar

Basic, Premium & Enterprise

To-dos with due dates that attach to the record they're about — a stone, a client, an invoice, a job.

Every to-do is raised from the record it is about, so the chase carries its invoice and the drop-off carries its job — and the whole week exports to your calendar.

Features

  • Views for upcoming, completed and all
  • Download .ics or open in Google Calendar
  • Reminders fire on schedule

How to use it

  1. Create the task from the record it belongs to, so context travels with it.
  2. Work the upcoming view; completed tasks stay on the record's history.
  3. Subscribe your calendar if you live in one.

Notes

A notes workspace with folders, colour tags, markdown, and links to the records the note is about.

Notes written where the thought happened and pinned to the record they concern — the checklist opens from the order, the brief opens from the client.

Features

  • Folders, tags, and per-note visibility
  • Checkboxes, headings and code in a dependency-free renderer
  • Link a note to a stone, client, invoice or job
  • A quick-note button on most screens

How to use it

  1. Capture the thought where you are — the quick-note button is everywhere.
  2. Link it to the record it concerns; find it from either side.
  3. Organise with folders and tags when the collection grows.

Pricing Calculator

Premium & Enterprise

Costs a finished jewellery piece from live metal spot, purity and weight, applying your own tax rate.

A finished piece costed from this minute's spot — purity and weight become metal value, then stone, making and margin, and the team's own tax rate lands the retail figure.

Features

  • Gold, silver and platinum with live spot
  • Troy-ounce to gram conversion built in
  • The GST/tax rate is a team setting, not a hardcoded assumption

How to use it

  1. Pick the metal and purity; enter the weight.
  2. Read the metal value at this minute's spot.
  3. Add making and margin; quote with confidence.

Dashboard

The opening screen: a reorderable grid of metric cards and panels drawing from every module, each clicking through to its source.

The opening screen arranged the way you work: the alerts that need answering today beside an AI read of the month, with every number a door into the module that produced it.

Features

  • An interactive bespoke pipeline board — advance stages from the dashboard
  • Cash-sale and CDD alerts surfaced where you'll see them
  • AI insights over the metric snapshot
  • Every number is a door: click through to the module behind it

How to use it

  1. Start the day here; the numbers tell you where to go.
  2. Reorder the grid so your numbers are on top.
  3. Click any figure to land in the module that produced it.

Settings

Team configuration: business profile, bank accounts, preferences, notifications, API keys, users, billing, branding and save points.

Team configuration in one place — trading name and colours, who holds which role, which integrations are connected, and a nightly save point you can restore from.

Features

  • White-label branding: your colour, sidebar and trading name
  • Rename any module; reorder the sidebar per team
  • Multi-currency bank accounts printed on invoices
  • Save points: manual and scheduled backups with restore
  • Connect your team's Telegram bot, link chats to users and revoke them

How to use it

  1. Set the business profile and bank accounts first — documents inherit them.
  2. Connect integrations under API Keys as you need them — the Telegram bot is set up here too.
  3. Invite users with roles that match what they should see; adjust branding to taste.

Activity Log

A queryable record of who did what to which record — so “who touched this stone?” has an answer.

Who did what to which record, down to the exports and the prints — filter it to the stone in question, hand the slice to an auditor, read the digest on Monday.

Features

  • Filter by record type and id, actor and action
  • CSV export for audits
  • Client-side export, download and print events are recorded too
  • Feeds the weekly security digest to the owner

How to use it

  1. Open it when a question starts with who — the answer is a filter away.
  2. Export the slice an auditor or insurer asks for.
  3. Read the Monday digest; it watches the sensitive actions for you.

Compliance

1 modules

A customer-due-diligence file you can hand to an auditor. Risk & Ownership and the Activity Log complete the picture from their own sections.

AML/CFT Compliance

Case-managed customer due diligence: CDD level, verification, PEP and sanctions status, beneficial ownership, STR/SAR state and a recorded decision — per jurisdiction.

AML/CFT — screen a client against sanctions and PEP lists in one click; the audit trail writes itself as you work.

Features

  • Around 45 jurisdiction profiles across APAC, the EU, UK and US
  • One-click sanctions and PEP screening through OpenSanctions — UN, OFAC, EU, UK, Australian DFAT and Singapore MAS lists
  • Evidence file uploads and a next-review date a watchdog actually chases
  • Screening auto-marks potential matches; a human always confirms or clears

How to use it

  1. Open a case for the client and pick the jurisdiction profile.
  2. Screen sanctions and PEP from the case; attach the identity evidence.
  3. Record the decision — approve, approve with EDD, or decline — and let the watchdog bring the case back at review time.

Market intelligence & AI

5 modules

What the market is doing, inside the same screen as your stock — and AI that does the reading nobody wants to do.

Precious Metals

Live spot prices with durable history charts for gold, silver, platinum and palladium.

Precious Metals — spot for gold, silver, platinum and palladium on the same screen as your stock, with nine years of history behind the chart.

Features

  • Daily history back to January 2017; intraday ticks while the market is open
  • Ranges from 24 hours to all-time; per ounce or gram; any of eleven currencies
  • An indexed compare view puts all four metals on one honest axis
  • A market-closed note so a flat weekend line never reads as a fault

How to use it

  1. Watch the tiles for now; open a chart for the story.
  2. Switch range, unit and currency to the numbers you actually trade in.
  3. Use compare view when the question is which metal moved.

Pricing Intelligence

Premium & Enterprise

A database of real price observations — auction, trade show, dealer offer, own sale — across fifteen named markets, plus AI research that finds comparables.

Pricing Intelligence — auction results, show prices, dealer offers and your own past sales for the stone in hand, so the ask you quote sits against real observations rather than a feel for the market.

Features

  • Log observations as you encounter them; they become your private market memory
  • Three-layer AI research: understand the question, search, validate
  • A StoneAlgo-backed diamond index by shape and carat, refreshed weekly
  • AI scan of a market report PDF or auction results sheet

How to use it

  1. Record prices whenever you see real ones — offers, results, sales.
  2. Ask the research layer when pricing something unusual; review what it found before trusting it.
  3. Check the diamond index before quoting stones the market prices tightly.

Currency Converter

Converts between the eleven currencies the app supports, on the same cached feed your books snapshot against.

Currency Converter — quoting House of Maya in A$ off the same cached rates your invoices and P&L snapshot against, so the number you say out loud agrees with your books.

Features

  • The same rates your invoices and P&L use — no second source of truth
  • Refreshes every twenty minutes

How to use it

  1. Open, convert, quote. The number agrees with your books because it comes from the same place.

AI Assistant

Trial, Premium & Enterprise

A chat workspace that answers questions against your own live data, scoped to a focus area.

AI Assistant — plain questions, answers assembled from your own book: stone ids, memo dates, the month’s figures, and only ever what your role is allowed to see.

Features

  • Six contexts: overview, inventory, clients, financials, trade show, pricing
  • One-click smart actions: monthly summary, inventory health, client review, pricing watch
  • Persistent, pinnable threads; answers take feedback
  • It sees only what your role is allowed to see

How to use it

  1. Pick the focus area closest to your question and ask in plain language.
  2. Use the smart actions for the recurring questions — month summary, book health.
  3. Keep useful threads pinned; thumbs-down anything wrong so it's on record.

Telegram Bot

Companion surface

The suite in a chat window: ask your books a question, log an expense from a photo of the receipt, and let the alerts come to you — your own Telegram bot, linked to your GemPro user and held to the same permissions.

Your own bot, not a shared one: it answers as the GemPro user it is linked to, so it will only tell you what your role is allowed to see.

Features

  • /briefing and /report — the day's numbers and the weekly P&L, if your role may see them
  • /metals — spot for gold, silver, platinum and palladium from the same cache the app reads
  • Photograph a receipt and it becomes an expense, converted into your base currency
  • Voice notes transcribed, then acted on like anything else you type
  • Ask in plain language — the assistant from the app, filtered to what your role may see
  • /remember and /forget keep the team's standing facts
  • Alerts as they happen: shipments, tasks, wishlist matches, AML reviews, overdue invoices, quote decisions
  • Send an invoice to the chat as a PDF straight from the invoice screen

How to use it

  1. Create a bot with @BotFather in Telegram, then paste its token into Settings → API Keys → Telegram Bot (owner or admin).
  2. Generate a link code in Settings and send /link with it to your bot; the code lasts fifteen minutes and ties that chat to your GemPro user.
  3. Turn on the categories you want under Settings → Notifications — Telegram alerts stay off until you do, and they reach every linked chat on the team.
